Job Profile

We are looking for a talented contracts coordinator to oversee, administer, improve, and continuously update our bespoke commercial contract repository. In this role, the contracts coordinator's primary responsibility will be the post-execution review, synthesis, and processing of complex but standard-form legal agreements and addenda in our contract module. The ideal candidate with be familiar with contractual legal principles, able to distil legalese, and have an exacting attention to detail.  This position will work closely with Vista Legal, Finance, Product, Sales and Tech to maintain a best-in-class system that prioritizes data fidelity. The role also includes a litigation support function as well as other administrative responsibilities.

Your Responsibilities

  • Develop a solid understanding of the company’s product and business goals, particularly its commercial flight service agreements.
  • Use and maintain the company’s document, template, and contract repositories; support efforts to update contract templates and roll-out changes.
  • Review new client contracts & addenda; extract billing, operational, and commercial terms (e.g., bespoke modifications, special terms, discounts, etc); memorialize this data faithfully, accurately, and efficiently across internal platforms.
  • Translate legal concepts & legalase into actionable insights to be relied upon by other departments.
  • Become a subject matter expert for our systems and agreements, answering questions and resolving novel issues for business stakeholders, particularly Sales & Finance.
  • Support IT’s continuous efforts to improve and update internal systems, platforms, and tools.
  • Partner with Finance on debt recovery matters prior to formal legal escalation; prepare case summaries (including outstanding balances, collection history, and supporting documentation); prepare draft communications; manage cross-team coordination & follow-up.
  • Act as a central point of contact between Legal and other departments to support consistent, complete, and compliant handover of accounts proceeding to legal action.
  • Assist with the global litigation portfolio (investigations, letters before action, cease & desists, e-discovery, mediations, settlement and releases, calendaring, etc).
  • Support a wide range of projects and teams on an as needed basis.

Required Skills, Qualifications, and Experience

  • Qualifiying law degree (LLB, GDL, SQE) or similar.
  • At least 1-2 years in a similar role.
  • Digital literacy with a robust understanding of business tools (MS Office, etc).
  • Excellent English communication skills both orally and in writing.
  • Demonstrable contract experience.
  • Commercial debt resolution / litigation experience is nice to have. 
  • “No project too small” attitude.
  • Problem solver – able to resolve issues proactively using sound judgment.
  • Self-starter – able to work autonomously from time-to-time.
  • Responsive – will monitor and engage with occasional work requests outside of standard working hours, particularly during peak periods (e.g., end of month, quarter and year).
  • Willingness to learn and embrace new challenges.
